Privacy Policy

Your privacy matters to us. This policy explains what personal information We Better AI collects when you visit our website or contact us, how we use it, and the choices you have.

Last updated:

1. Who we are

We Better AI ("We Better AI", "we", "us", or "our") designs and builds custom AI and software solutions for businesses. This Privacy Policy applies to personal information we process through webetterai.com and its sub-pages (the "Website"), and when you communicate with us by email, phone, or through scheduling tools linked from the Website.

For the purposes of the EU and UK General Data Protection Regulation (GDPR) and similar laws, We Better AI is the controller of the personal information described in this policy. Our contact details are set out in the "Contact us" section below.

By using the Website, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Website.

2. Information we collect

Information you provide to us

Contact form
When you submit our contact form, we collect your full name, email address, company name (optional), and any details you choose to share about your project.
Direct communications
When you email, call, or message us, we collect the information contained in your communication, such as your name, contact details, and the content of your message.
Meeting bookings
If you book a discovery call through a scheduling link on our Website, the scheduling provider (Calendly) collects the details you enter, such as your name, email address, and preferred time, and shares them with us.

Please do not send us sensitive personal information (for example, health information, government identification numbers, or financial account details) through the contact form or by email.

Information collected automatically

When you visit the Website, we and our service providers automatically collect certain information about your device and how you use the Website, including:

  • Device and browser information, such as browser type, operating system, screen size, and language settings.
  • Network information, such as your IP address and approximate location (city or country) derived from it.
  • Usage information, such as the pages you view, the links you click, the time and duration of your visit, the referring website, and scroll and click interactions.

We collect this information using cookies and similar technologies, as described in the "Cookies and similar technologies" section below.

3. How we use your information

We use personal information for the following purposes:

  • To respond to your inquiries, schedule calls, and provide the information or proposals you request.
  • To communicate with you about potential or ongoing projects.
  • To operate, maintain, and secure the Website, including detecting and preventing fraud, spam, and abuse.
  • To understand how visitors use the Website so we can improve its content, design, and performance.
  • To measure the effectiveness of our marketing activities, where you have consented to this.
  • To comply with legal obligations and to establish, exercise, or defend legal claims.

We do not use your personal information for automated decision-making that produces legal or similarly significant effects on you.

5. Cookies and similar technologies

Cookies are small text files stored on your device when you visit a website. We and our partners also use similar technologies such as pixels, tags, and local storage. The Website uses the following third-party tools:

Google Analytics and Google Tag Manager (Google LLC)
Help us understand how visitors find and use the Website, using aggregated usage statistics.
Microsoft Clarity (Microsoft Corporation)
Helps us understand how visitors interact with our pages through heatmaps and session replays, so we can improve usability.
Meta Pixel (Meta Platforms, Inc.)
Helps us measure the effectiveness of our advertising on Facebook and Instagram.

We use Google Consent Mode, which by default sets analytics and advertising storage to "denied" until consent is given. Strictly necessary technologies that are required for the Website to function and remain secure do not require consent.

You can control cookies through your browser settings, including blocking or deleting them. You can also opt out of specific tools: Google Analytics through the Google Analytics Opt-out Browser Add-on (tools.google.com/dlpage/gaoptout), Meta advertising through your Facebook ad preferences, and Microsoft Clarity as described in the Microsoft Privacy Statement. Blocking some cookies may affect how the Website works.

6. How we share your information

We do not sell your personal information. We share it only in the following circumstances:

Service providers
Companies that process information on our behalf, such as our email provider (Google Workspace), website hosting providers, analytics providers, and scheduling provider (Calendly). They may only use your information to provide services to us.
Advertising and analytics partners
Where you have consented, partners such as Google, Microsoft, and Meta receive information collected through cookies and pixels. Their use of that information is governed by their own privacy policies.
Legal requirements
When we believe in good faith that disclosure is required by law, regulation, legal process, or a governmental request, or is necessary to protect the rights, property, or safety of We Better AI, our clients, or others.
Business transfers
In connection with a merger, acquisition, financing, reorganisation, or sale of all or part of our business, subject to this policy or a policy that is at least as protective.
With your consent
In any other case where you have asked us or given us permission to share your information.

7. International data transfers

We are based in the United States, and our team and service providers may be located in other countries. As a result, your personal information may be transferred to, stored in, and processed in countries other than your own, which may have different data protection laws.

Where we transfer personal information out of the EEA, the United Kingdom, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or an adequacy decision, including the EU-U.S. Data Privacy Framework where the recipient is certified.

8. Data retention

We keep personal information only for as long as necessary for the purposes described in this policy:

  • Inquiries and correspondence are kept for up to 24 months after our last interaction, unless you become a client, in which case they are kept for the duration of our relationship and as required by law afterwards.
  • Analytics data is retained according to the retention settings of the relevant provider and is generally kept in aggregated or pseudonymised form.
  • Information we must keep to meet legal, tax, or accounting obligations is kept for the period required by law.

When information is no longer needed, we delete or anonymise it.

9. How we protect your information

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, or alteration. These include encrypted connections (HTTPS), access controls that limit who can view your information, and choosing service providers that maintain strong security practices.

No method of transmission over the internet or electronic storage is completely secure. While we work hard to protect your information, we cannot guarantee its absolute security.

10. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you.
  • Correction: ask us to correct inaccurate or incomplete information.
  • Deletion: ask us to delete your personal information.
  • Restriction: ask us to limit how we use your information.
  • Objection: object to processing based on our legitimate interests, including for direct marketing.
  • Portability: receive your information in a structured, commonly used, machine-readable format.
  • Withdraw consent: withdraw consent at any time, without affecting processing carried out before withdrawal.

Additional information for U.S. residents

If you are a resident of California or another U.S. state with a comprehensive privacy law, you may have the right to know what personal information we collect, use, and disclose; to request deletion or correction; and to opt out of the "sale" or "sharing" of personal information for cross-context behavioral advertising. We do not sell personal information. Our use of advertising pixels may be considered "sharing" under some state laws; you can opt out by declining non-essential cookies, by enabling a Global Privacy Control (GPC) signal in your browser, or by contacting us. We will not discriminate against you for exercising any of these rights.

How to exercise your rights

To exercise any of these rights, contact us at hello@webetterai.com. We may need to verify your identity before responding. You may use an authorised agent to submit a request on your behalf where permitted by law. We will respond within the time required by applicable law, usually within 30 days (or 45 days for U.S. state law requests).

If you are in the EEA or the United Kingdom and believe we have not handled your information properly, you have the right to lodge a complaint with your local data protection authority. We would, however, appreciate the chance to address your concerns first.

11. Children's privacy

The Website and our services are intended for businesses and are not directed at children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. Data we process for our clients

When we build or operate AI and software solutions for our clients, we may process personal data on their behalf. In those cases, our client is the controller of that data and we act as a processor. That processing is governed by our agreement with the client, not by this Privacy Policy. If your information is held in a system we have built for one of our clients, please contact that organisation directly.

14. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the "Last updated" date at the top of this page. If the changes are material, we will take reasonable steps to notify you, for example by displaying a notice on the Website.
